Summary

The Accounting Clerk plays a pivotal role in advancing the mission of Awana by assisting the Finance shared services teams in performing accounts payable (AP) activities, accounts receivable (AR) donation processing/backup, Finance help desk/support resolution, preparing monthly expense reports, assisting the Risk Manager with contracts, and other similar activities. The Accounting Clerk collaborates and partners with internal teams and team members to ensure exceptional support, service and outcomes are achieved. Success in this role is defined by accurate and timely work, teamwork, and the living out of Awana values.

This position is primarily remote with occasional travel required based on strategic organizational meetings. Primary travel locations would be our offices in St. Charles, IL or Nashville, TN.

Hiring Range for this position is: $18.00 – $20.00 per hour

Key Responsibilities

Payment Processing and Vendor Management

  • Performs invoice review and submission for workflow approval.
  • Obtains proper documentation and approval signatures and completes identifying information in accordance with current approval policy.
  • Manages both new and changes to vendor information including ACH and wire payment templates.
  • Tracks and verifies weekly domestic and international wire, ACH, and check payment totals in both the appropriate computer systems and in the online banking system.

Expense Management and Compliance

  • Evaluates employee expenses on expense approval system. Compares charges against established policies and requests additional information if needed.
  • Prepares monthly expense reports for the technology department.
  • Records and uploads journal entries accurately and timely. Reviews recurring entries and adjusts them as needed.

Staff Support and Communication

  • Manages and responds to Awana staff members, including international staff, in a timely manner to their inquiries and support tickets.
  • Responds to telephone calls and correspondences from vendors and staff regarding financial requests, inquiries, questions, feedback, comments, complaints, input, etc. Research questions if necessary and respond promptly and consistently.
  • Trains new staff in expense reporting and reimbursement submission.

Shared Services and Support Duties

  • Assists Risk Manager with contracts, state charitable solicitation requirements, and insurance renewals.
  • Assists Risk Manager with state sales tax account management and document retention/storage management.
  • Assists in creating and modifying staff training documents.
  • Assists CFO & Controller with coordinating team meetings, presentations, and other related activities.
  • Provides support to Finance areas: Accounts Payable, Accounts Receivable, Risk Management, and Supply Chain.
  • Performs other duties as assigned.

What You Need

  • Two years related experience and/or training preferred.
  • Associate or Bachelor’s degree (BA or BS) desired with a concentration in Accounting or Finance or similar from an accredited college or university.
  • Intermediate Microsoft Office and Google Suite skills preferred.
  • General understanding of the Bible and the Christian church in its various expressions preferred.
  • Working knowledge of children’s inspirational or ministry space including demonstrated program/product familiarity preferred.
  • Familiarity with the US Church landscape and/or global nonprofits preferred.
  • Valid State driver’s license.
  • Occasional local and out-of-town, overnight travel may be required.
  • General understanding of the Bible and the Christian Church in its various expressions preferred.
  • Experience with Awana Club, curriculum, resources, & solutions is a plus!
  • Eligibility to work in the United States is required; this position is not eligible for employment visa sponsorship.

Spiritual Life

Must be a born-again Christian. Must have a personal relationship with Jesus Christ as Lord and Savior. Must be in agreement with the Awana Doctrinal Statement. Must be in fellowship with the body of Christ through a local church. Regularly engages in reading the Holy Bible as a guide and standard for living.

Physical Demands/Working Conditions

While performing the duties of this job, the team member is regularly required to communicate. The team member is also required to regularly utilize computer equipment (e.g., screens and keyboards) to perform work. Awana recommends maintaining ergonomic posture, utilizing properly positioned computer equipment to minimize strain, and taking regular breaks to stretch and move around. Specific vision abilities required by this job included close vision. Local and out-of-town, overnight travel may be required.
