Summary

At our ministry, we are passionate about forming lasting faith in every child, everywhere! As an Administrative Assistant, you will play an important role in furthering our mission by providing critical administrative support to our Executive Vice President of Global Ministries and Vice President of Global Operations, ensuring our global team can focus on spreading the Gospel.

Coordinating events and travel (domestic and international), handling data reporting, donor correspondence, and program documentation as well as general administrative responsibilities are key aspects of this role. Working closely with our leadership and cross-functional teams, you will help streamline operations and facilitate meaningful connections with donors, partners, and global staff, all while maintaining a high level of cross-cultural awareness and flexibility.

You will have the opportunity to work both in our office in St. Charles, IL and from home most days. You will also have the opportunity to travel occasionally (domestically and internationally).

Hiring Range for this position is: $45,000 to $50,000 annually and is accompanied by an excellent benefits and time off package!

Key Responsibilities:

Administrative and Operational Support for Key Global Leaders

  • Manage tasks, reminders, appointments, and scheduling .
  • Provide email support, including prioritization and engagement with internal and external stakeholders.
  • Prepare and manage expense reports.
  • Perform general administrative duties, including document preparation and other tasks as assigned.

Global Travel and Event Coordination

  • Arrange travel logistics for the global field team, including booking flights, creating itineraries, securing visas, and organizing appointments.
  • Coordinate event and meeting logistics, ensuring seamless execution of ministry gatherings.
  • Arrange vision trip details in collaboration with Donor Development and U.S. Ministries teams.

Data and Documentation Management

  • Oversee data reporting processes, including sending reminders, collecting data, and distributing reports to relevant stakeholders.
  • Maintain global staff documentation, including tracking and onboarding processes.
  • Support program file management, such as curriculum and related materials.

Donor and Partner Communication

  • Handle follow-up correspondence for donor and partner communications and visits.
  • Ensure timely and professional engagement with donors and partners to support ministry relationships.

Presentation and Program Support

  • Assist with presentation preparation, documentation, and other program-related tasks.
  • Provide support for ministry initiatives, ensuring alignment with our global mission objectives.

What You Need:

  • 3+ years experience providing administrative support.
  • Experience making international travel arrangements, and understanding of documentation requirements, to/from various continents, e.g., Africa, Europe, Asia
  • College coursework from an accredited college or university, preferred.
  • Intermediate Google Suite skills, preferred.
  • Bi-lingual / Multi-lingual skills, a plus!
  • Appreciation of global cultures and practices with ability to foster collaboration across borders.
  • Valid State driver’s license, preferred.
  • A Valid US Passport with ability to travel internationally on occasion.
  • Occasional local and out-of-town, overnight travel may be required.
  • General understanding of the Bible and the Christian Church in its various expressions, preferred.
  • Experience with Awana Club, curriculum, resources, & solutions is a plus!
  • Eligibility to work in the United States is required; this position is not eligible for employment visa sponsorship.

Spiritual Life

Must be a born-again Christian. Must have a personal relationship with Jesus Christ as Lord and Savior. Must be in agreement with the Awana Doctrinal Statement. Must be in fellowship with the body of Christ through a local church. Regularly engages in reading the Holy Bible as a guide and standard for living.

Physical Demands/Working Conditions

While performing the duties of this job, the team member is regularly required to communicate. The team member is also required to regularly utilize computer equipment (e.g., screens and keyboards) to perform work. Awana recommends maintaining ergonomic posture, utilizing properly positioned computer equipment to minimize strain, and taking regular breaks to stretch and move around. Specific vision abilities required by this job included close vision. The employee is regularly required to move about the work environment, including climbing, crouching, and kneeling, often with equipment in use. Must be able to lift 50 lbs. Domestic and international travel may be required.
